Two ways to do a birthday Secret Santa
A third option is a plain birthday pool, where everyone adds a few dollars to a shared gift. That is a different system and our group gift splitter helps with it.
- One draw for the whole year. Each person is matched with one person and buys that person's birthday gift. Everyone buys exactly one gift, and receives one. It is the least work.
- A monthly mini draw. Each month, the people with birthdays that month are matched with other team members, who volunteer or are drawn. More flexible, more admin.
Rules to set before you start
- Budget: one number for all birthdays, such as $10 to $20.
- Opt out: anybody can skip being a recipient, and it should not be awkward.
- Date privacy: some people do not want their birthday shared. Let them choose a month only, or none.
- Delivery: gifts arrive on the day or the nearest workday.
- Exclusions: do not match people who report to each other if that would be uncomfortable.
- Cards: a short signed card from the team costs nothing and means a lot.

Gift ideas for birthdays on a budget

Tracking birthdays without making it weird
Collect the month and day only, with permission. Store it in a sheet the organizer controls. Remind the matched person two weeks ahead. If someone joins midway, match them to the next open birthday. If someone leaves, reassign their matches to the organizer so nobody is left without a gift.
