How to use this Secret Santa questionnaire
- Decide how you will collect answers: printed copies on a desk, a shared photo of each sheet, or typed answers sent to you.
- Hand it out at least two weeks before the swap date. People need time to answer and time to shop.
- Ask for answers by a firm date, usually 3 to 5 days later, and say that blank sheets mean a surprise.
- Do the draw after the sheets are in, then give each person only the sheet that belongs to the person they drew.
- Keep the original sheets private. The organizer should shred or delete them after the swap.
Which questions matter most, and why
Not every question earns its place. A long form gets half-answers, and half-answers are worse than none because they look like a plan. The questions that pay off are the ones that turn a vague person into a shoppable one.
Start with budget comfort, even though the group already has a limit. "Anything from $10 to $25" is more useful than a blank. Then ask for a few things you actually use up, such as coffee, tea, snacks, candles you like, or a hand cream. Consumables are the safest gift for a person you barely know.
- Favorite snack or drink. The easiest win. It also tells you about allergies if you add one line: "Anything I should avoid?"
- Hobbies in the last year. This beats "what are you into" because it reflects now, not who they were at 19.
- Something you wish you had but would not buy yourself. This is the gift question. Small treats beat big wants.
- Colors, scents and styles you like or dislike. Stops the lavender gift for the person who hates lavender.
- A gift you already own plenty of. Mugs, socks and notebooks usually top this list.
- Favorite store or place to eat. Lets you pick a small gift card with confidence.
Questions to skip
Skip anything that works as a private-life audit: relationship status, shirt size for people you do not know well, or home details. If clothing is on your list, ask for a favorite brand instead of a size. Skip "what is your dream gift" too, because it invites answers far above the budget and then everyone feels bad.
If you want more ideas for the ask-and-answer side, the page of Secret Santa questions to ask has a longer menu sorted by who your giftee is.
Aim for six questions or fewer. The shorter the sheet, the more of them come back filled in.
Printable versus typed answers
Print works well in an office or classroom where people are in one place and the organizer can drop sheets on desks. Typed answers work better for families spread over several cities, because a photo of a handwritten sheet is hard to read on a phone.
Either way, the problem is that the organizer now holds everyone's answers and knows whose sheet is whose. That is fine for a small group, but it undoes the secrecy if you pass the original sheet to the buyer. Hand over a copy that has no name on it, or just the answers.
A version for kids
For kids, shorten the sheet to three or four questions and use words like "favorite" and "what do you play". Read the questions aloud for younger kids and let a parent write the answers. Add a line that says the budget so children understand a $15 gift is a good gift, not a small one.
Good kid questions: favorite animal or character, what they are playing or reading right now, a snack they love, and one thing they would like to do with a friend. Parents can use Secret Santa for kids for rules that suit a classroom or a family group.
Skip the paper with Hollyhush
If chasing sheets sounds tiring, Hollyhush does the same job in the group. Each person adds a wishlist, and anyone can ask their giftee an anonymous question in the chat without giving themselves away. No app, no account and no email, and the organizer cannot see who has whom unless they turn that on.
