How to use a Secret Santa sign up sheet

  1. Print the sheet and tape it where people stop: the break room, the copier or the front of the classroom.
  2. Write the budget, the swap date and the deadline at the top in large print.
  3. Leave a pen on a string next to it. Pens vanish.
  4. Send a reminder a day or two before the deadline.
  5. Collect the sheet on the deadline, count the names and do the draw.
  6. Tell everyone how they will find out who they have: a slip, an email or a link.

What to ask on a sign up sheet

Less is more. Every extra column makes people skip the sheet. At the least, ask for a name. Past that, think about what you need to run the exchange.

  • Name. First name, or first name and last initial if there are duplicates.
  • Contact. A work email or phone number only if you need to send the person their match.
  • Allergies or dietary needs. Handy if there will be food or edible gifts.
  • Out of office dates. Helps if people travel in December.
  • Remote or in person. This tells you whether to ship gifts or hand them over.

If you do not need a column, delete it. Short sheets get more names.

Sign up sheet for a classroom

In a class, the sheet is usually sent home or handled by the teacher. Ask parents for a signature and any allergies, and say that taking part is optional so no child feels pushed. Keep the budget low and equal for all, such as $5 or $10, and say it clearly.

The limits of paper

A sheet on a wall works for 10 to 20 people who see each other every day. It fails when people work remotely, work different shifts, or sign up on the last day. It also hides one problem: the organizer then has to do the draw by hand, with couples and exclusions in their head.

You will also see more late additions than you expect. Have a clear rule such as "names after the deadline can join if someone is willing to take two names", or you will redo the draw.

When to move to a link instead

Switch to a link when the group is spread out, has more than 25 people, or needs rules such as "couples cannot draw each other".
