How to organize a Secret Santa

To organize a Secret Santa, set a budget and swap date, collect names, draw with a tool or hat, tell everyone their match privately, and plan a reveal. It takes about ten minutes of work and a few weeks of waiting.

Step by step

  1. Pick the group and the swap date. Choose a day when most people will be in the same place, then count backward.
  2. Set the budget. One number, announced up front. See how much to spend if your group is split.
  3. Collect names. Ask people to confirm by a deadline, at least two weeks before the swap date. A shared link beats chasing people one by one.
  4. List the exclusions. Couples, roommates and people who live together usually should not draw each other. Note any other pairs.
  5. Draw the names. Use a tool such as the Secret Santa generator or names from a hat. Hollyhush hides matches from everyone, including you.
  6. Send out the rules. Short is better: budget, date, secrecy, who to message if they drop out. Copy the block in Secret Santa rules.
  7. Send one reminder a week before. People forget the date more than the budget.
  8. Plan the reveal. Choose one way to hand over gifts and see who had whom. See reveal ideas.

Skip the hat. Hollyhush draws names, hides the matches and gives everyone the budget and date. Create your group, free

Organizer checklist

  • Date, place and budget written in one message.
  • Everyone who joined confirmed with a first name.
  • Exclusions set before drawing.
  • A backup person in case someone drops out.
  • Gift delivery plan for remote people: ship early, or send a digital gift.
  • A way to answer questions without exposing matches.
  • A reveal plan that does not take over the whole party.

Who should run it

The organizer does not need to be the boss. Pick the person who will actually send reminders. If you are the organizer and also play, use a tool that hides matches from you, otherwise you know who has you. In Hollyhush, the organizer can not see the draw unless they turn on "show me everything".

Tips for bigger groups

  • Past 25 people, split by team or table so people can actually see the reveal.
  • Use a sign-up sheet. A printable sign-up sheet works at an office.
  • Accept late entries only until the draw. After that, add one person with a plus-one swap, not a redraw.

Frequently asked questions

How do you start a Secret Santa?

Set a date and budget, invite the group, collect names and run a draw. A link-based tool like Hollyhush handles the invite and the draw in one place.

How far ahead should you organize Secret Santa?

About four weeks before the swap date. That leaves time to sign up, draw, shop and ship.

Can the organizer join Secret Santa?

Yes, if the draw hides matches from the organizer. Otherwise they know who has them, which spoils the secret.

How many people do you need for Secret Santa?

At least three, though five or more is better. Hollyhush supports up to 50 people per group.

What if someone leaves after the draw?

Ask the person who had them to keep their gift for the swap, or let the organizer redraw only if few people have shopped.
